What is an Appraisal?

Appraisal is a regular review of past achievements with constructive planning of future progress. Participation helps GPs to ensure that their professional and personal skills are relevant and up to date. GP Appraisal is not a single event but a continuous process and an integral part of a learning culture. Appraisal interviews are undertaken on an annual basis.

How do I get an Appraisal website account?

Please visit http://gp.cf.ac.uk/loginhelp.php if you are a new user as you will need to register for a user name and password for the website. Please note that your GMC number will be checked against the Business Service Centre (BSC) website to see if you are registered on the Medical Performers List (MPL) for Wales.
Once logged into the website there will be an option to go to your Form 1 and it is here you will enter your personal and professional details. Form 2 is where you need to update your current medical activities. Form 3 is where you will enter all material that will be submitted towards your appraisal folder.
Once you have registered for an account the appraisal unit will give you an allocated quarter in which to undertake your appraisal interview. Please see the section below for more information on the allocated quarter process.

Is Appraisal a contractual responsibility of every GP?

Yes, every GP who is registered on the Medical Performers List in Wales and undertaking clinical work must ensure they participate in an annual Appraisal. Appraisals are monitored by the Health Boards (HBs) who are responsible for ensuring that all GPs contracted to their area complete an annual appraisal.

Can I fail an Appraisal?

GP Appraisal is supportive and developmental and the simple answer to can I fail is, no. The outcomes of the appraisal discussion should highlight past achievements and include a plan for ongoing development. It is a requirement to engage and produce sufficient material for a meaningful appraisal. The appraisal folder should reflect a mimimum of 30 hours CPD.

Appraisal is not designed to detect under performance, however, serious causes for concern would need to be addressed and a Communication Protocol for this eventuality is published in the appraisal section of the website library. The Communication Protocol is adhered to by both the Unit and the HBs across Wales.

Who manages Appraisal?

GP Appraisal in Wales is managed by the Section of Postgraduate Education for General Practice (PGMDE) where an on-line system is provided to help GPs to complete their appraisal. There exists a framework of appraisers, appraisal co-ordinators, HB medical directors, the Business Service Centre (who manage the Medical Performers List for Wales) and the GP Appraisal Unit who manage the system of allocated quarters and the Appraisal Website.

Who will do my Appraisal?

All our Appraisers are practising GPs who are recruited and trained by the Section of Postgraduate Education for General Practice specifically to provide high quality, professional appraisal to their peers.

How do I choose an Appraiser?

On the website there is an option called 'appraisal database' if you click on this it will take you to the appraisal area of the website. There should then be an option to click 'Appraiser - click here to choose one' then you will see a list of appraisers for your HB area and a list of appraisers outside your HB area. You are able to make 3 choices (ranked 1st choice, 2nd choice, 3rd choice). It is advisable to select appraisers from your HB area if possible as otherwise it will be your responsibility to travel to them.

Once you have made your 3 choices, the appraiser you have selected 1st will either reject or accept your request depending on their personal capacity/availability. If they accept you, they will get in contact with you to arrange a suitable date by email. If your 1st choice appraiser is unable to accept your request the system will continue to your 2nd (and then your 3rd if necessary) choice.

How does the Allocated Quarter system work and what does it mean in terms of choosing an Appraiser?

The system of allocated quarters was introduced to rationalise local delivery of appraisal and to optimise the limited capacity of each appraiser. Your allocated quarter is set by the Appraisal Unit and is set approximately 9-15 months after the completion of your GPR training. It is the responsibility of each GP to select an appraiser and arrange an appraisal date within their relevant quarter. If an appraisal interview takes place out of the allocated quarter the reason for this delay is recorded on the Form 4 of the appraisal folder and this is shared with the Appraisal Unit.
Appraisers available within your area are shown when making your choices. Whilst you can choose an appraiser from another area it makes sense to stay local and undertake an interview within your allocated quarter.
The allocated quarter protocol has been designed to keep the system of allocated quarters running smoothly and to highlight where GPs are not engaging in an annual appraisal. Those GPs who do not undertake their appraisal within their allocated quarter for reasons other than extenuating circumstances or maternity leave will be sent reminder e-mails and letters by both the Appraisal Unit and the relevant LHB Medical Director. Non engagement can result in removal from the Welsh Medical Performers List.

What happens if my Appraiser puts off the date of my Appraisal beyond my Allocated Quarter?

If the date of your appraisal is delayed by your appraiser, then you should undergo your appraisal on the new date, but your next appraisal will still be within your allocated quarter, as if the appraisal had taken place as originally planned. The appraiser will note the reason for the delay in your Form 4.

If I am taking, or have taken, maternity leave, when should I book my next Appraisal?

When going on maternity leave your account is effectively put on hold. Any hours that you have worked after your last appraisal interview and before the commencement of your maternity leave will count towards your next appraisal. The aim is that there will always be a minimum of 9 working months and a maximum of 15 working months between appraisals. Any time on maternity leave would not count as working months.
If you know the date you will be commencing your maternity leave please notify the Appraisal Unit so we can make a note of this on your appraisal account and can also alter your AQ accordingly. If you do not notify the Unit then you will continue to receive automated reminders and you may be chased through the allocated quarters protocol.
Please see below for examples of how we calculate your AQ:
Example 1.
If your AQ is Jan-Mar 2010, and an appraisal interview was undertaken in March 2010 and then maternity commences beginning of April 2010 and lasts 9-12 months then the next interview will take place in Jan-Mar 2011.
Example 2.
Dependent on the actual interview date if your AQ was Jul-Sept 2011 and you commenced maternity leave in January 2012 then the approximate 6 months that you worked before commencing maternity leave would be taken into account. If you then returned to work in September 2012 your AQ would be in January 2013.

There seems to be a problem with my Appraisal folder. Part of my Form 2 seems to be missing. What do I do?

This sounds like a 'Cookie' problem, so I suggest you try the following steps;

1. Open up any web page
2. Go to the top tool bar, where it says File, Edit, View, Favourites, Tools, Help.
3. Click on Tools
4. Then scroll down and click on Internet Options
5. A box should appear and the second section down is headed 'temporary internet files'
6. Click on the button that says 'Delete Cookies'
7. It will ask you if you want to 'Delete all cookies in Temporary internet Files folder'
8. Click 'OK'
9. Go to the website log-in with your existing username and password.

You should now find all previous work entered in your Form 2.

How do I correctly archive the items I have just completed? Presumably I need to individually tick all the items and then click the “archive events” button?

To correctly archive your previous events, you should tick all the items that you are happy to be archived and only these and click 'archive events', they will then be stored as your previous appraisal, but you will still be able to read them if you need to. Do NOT tick anything that you want to carry forward to your next appraisal.

If I am on the Welsh MPL for locum work but work mainly in England do I need to undertake two separate appraisals?

No but as you are registered on the Welsh MPL your appraisal account will remain active so please let the Unit know which PCT in England you are working for. We recommend that you alert the LHB MD that you are also working for in Wales of your English appraisal as they may wish to see evidence of your Form 4 as a contractual condition of remaining on the Welsh MPL.

With the introduction of the nMRCGP is there still a need, as in previous years, to undertake a separate/additional GP Registrar Appraisal?

It is necessary to carry out your GPR appraisal towards the end of your training as well as the e-portfolio with your Trainer. You will be able to find the documentation at the following link:

You can, however, copy and paste all relevant information into the GPR form 4 document from your e-portfolio so as to avoid duplication.

What is CPD and how does it link with Appraisal?

Appraisal and Continuing Professional Development (CPD) are closely linked. Appraisal provides doctors with an opportunity to demonstrate the CPD they have undertaken, reflect on what they have learnt, and plan for CPD for the following year.

Are we paid for having our Appraisals?

That’s correct, our Appraisal System is funded by the Welsh Assembly Government and as part of your engagement to appraisal we reimburse you for your time spent in your Appraisal Interview which is currently a fixed £300.

When and how will we be paid for our Appraisal?

The process for claiming your appraisal payment is now automated. We process Appraisal Claims on a monthly basis and usually at the beginning of the next month we collect all the agreed Form 4s, from this point it can take up to a fortnight to receive payment. As a general rule it's advised to allow 6-8 weeks max to receive payment.

I don’t seem to have received payment into my bank account?

Appraisal Fees are paid via an automated system which takes on average 6-8 weeks after the agreement of your Form 4, not your interview date. A payment run is undertaken on a monthly basis at the beginning of each month.
